SUMMARY

The person is responsible for managing the front desk and providing administrative support to a department or manager. This role involves greeting visitors, handling incoming calls, and performing various clerical tasks to ensure smooth office operations.

DUTIES AND RESPONSIBILITIES

  • Assist with day-to-day office operations, including organizing files, preparing documents, and scheduling appointments.
  • Communicate with clients, answer phone calls, and respond to inquiries.
  • Provide general administrative and clerical support, including mailing, scanning, and copying.
  • Issue access card and parking passes for employees.
  • Assist with scheduling meetings and preparing conference rooms.
  • Order office supplies and keep inventory of stock.
  • Answer, screen, and forward incoming calls.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Maintain and update calendars and contact lists.
  • Perform other duties as assigned by line manager.

REQUIREMENTS & QUALIFICATIONS

  • High School Diploma or Bachelor’s degree in Administration, or a related field.
  • Previous administrative or customer service experience is a plus but not required.
  • Fresh graduates are encouraged to apply.
  • Ability to follow basic work routines and standards in the application of work.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite is a plus.
