SUMMARY
The person is responsible for managing the front desk and providing administrative support to a department or manager. This role involves greeting visitors, handling incoming calls, and performing various clerical tasks to ensure smooth office operations.
DUTIES AND RESPONSIBILITIES
- Assist with day-to-day office operations, including organizing files, preparing documents, and scheduling appointments.
- Communicate with clients, answer phone calls, and respond to inquiries.
- Provide general administrative and clerical support, including mailing, scanning, and copying.
- Issue access card and parking passes for employees.
- Assist with scheduling meetings and preparing conference rooms.
- Order office supplies and keep inventory of stock.
- Answer, screen, and forward incoming calls.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Maintain and update calendars and contact lists.
- Perform other duties as assigned by line manager.
REQUIREMENTS & QUALIFICATIONS
- High School Diploma or Bachelor’s degree in Administration, or a related field.
- Previous administrative or customer service experience is a plus but not required.
- Fresh graduates are encouraged to apply.
- Ability to follow basic work routines and standards in the application of work.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite is a plus.
